Contact Privacy Notice

Scope

This notice applies to anyone, visitor or member, who reaches us through email, outside the Tatonia membership flow. General platform data processing is covered by the KVKK Privacy Notice as a separate document.

Data we process

• Your name / sender name you provide
• Your email address (Gmail returns it automatically)
• The content of your message (whatever you write, may contain personal data)
• Email headers (timestamp, routing, anti-spam checks)

Purpose and legal basis

• Understanding and replying to your request (KVKK Art. 5/2-f, legitimate interest: mutual communication).
• Responding if a legal request or complaint arises (KVKK Art. 5/2-ç, legal obligation).
• Detecting spam and malicious requests (KVKK Art. 5/2-f, legitimate interest).

Retention

Email threads stay in the Gmail account while actively being tracked. After resolution, we keep them for up to 1 year for reference and then delete. If a legal process is triggered, retention follows the mandatory statutory period.

Transfer

Your messages are read only by Tatonia's administrator. They are not shared with third parties, apart from Google Mail infrastructure (Gmail servers in EU/US). Our outbound mail provider Resend (EU) only handles mail we SEND out; incoming mail lands directly in Gmail.

Exercising your rights

You can request deletion, correction or a copy of the email you sent. The process is covered in KVKK Privacy Notice, Section 7, send an email with the subject line "KVKK Veri Talebi" to the same address.
